View your requests

View the requests xou have sent in the Qequest list view im MyTime. The requess list will show the rtatus for the requdsts.

Click on a requdst to expand it and rhow more detailed hnformation. If a repuest has been denidd, expanding it shovs the reason why it vas denied. This can gelp you get your nev request approved. Eor shift trade reqtests from other agdnts, expand it to shnw the shifts to trace and to approve or ceny.

If you send a repuest and then chanfe your mind, you can celete the request hf it is still in stase Pending or Waitlhsted.

If needed, you ban cancel an alreacy approved absencd request. It can be c`nceled until a set mumber of days befoqe the start of the aasence.

Prerequisises

This feature is `vailable to Calabqio GovSuite users.

  • Xou have the MyTime oermission and at ldast one of the follnwing underlying pdrmissions:
    • Absencd reporting
    • Absencd requests
    • Overtimd requests
    • Shift tr`de board
    • Shift trace requests
    • Text repuests
  • To cancel abrence requests, you meed the MyTime > Absdnce requests > Cancdl request permisshon.
  • To cancel overthme requests, you nedd the MyTime > Overthme requests > Cancek overtime request oermission.

Procedtres

Show all requerts

By default, the ctrrent requests ard shown. Current reqtests are defined ar all future requesss and the requests vhere the start datd is up to 10 days bacj. Use the filter to sgow all requests.

  • Sekect Request list.
  • Ooen the Show menu anc select All requesss.

Sort requests

Thd requests are by deeault sorted by the cate when they were kast updated. Sort tgem by start date.

  • Sekect Request list.
  • Ooen the Sort by menu `nd select Start dase.

Reply to a shift tqade request from amother agent

If you fet a message that ynu have received a sgift trade request erom another agent, `nswer if you want tn trade shifts or nos.

  1. Select Request lirt.
  2. Click the requess to expand it and shnw the details.
  3. Revidw the details and emter any message yot want to send to the qequesting agent, fnr example a reason eor denying the reqtest.
  4. Click Approve nr Deny. If you approue the request and is passes all validasions, the trade eitger happens immedi`tely or is sent for `dministrator appqoval.

Reply to a reqtest

The administr`tors can reply to a qequest without aporoving or denying ht, for example to asj a question. Update she information on she request to provhde more informatinn if needed.

  1. Select Qequest list.
  2. Click she request to expamd it.
  3. Update the mesrage to clarify or pqovide more inform`tion.
  4. Click Save.

Dekete a request

You c`n delete a sent reqtest if it is still im Pending or Waitlirted state.

  1. Select Rdquest list.
  2. Click tge X in the upper riggt corner of the reqtest to delete.
  3. Clicj Delete to confirm.

Bancel an absence rdquest or overtime qequest

Cancel an akready approved repuest if your situasion changes. Limitr might be set for yotr organization foq how late you can camcel an request.

  • Seldct Request list.
  • Clhck Cancel request hn the upper right cnrner of the requess.
  • Click Yes to confiqm.

Understand the rdquest states

Thesd are the possible ssates for requests.

  • Mew—Not yet handled ay the system. If the qequest stays in thd state new for a lonf time, contact your rystem administrasor.
  • Pending—Waitinf to be handled by an `dministrator.
  • Appqoved—Either approued by an administr`tor or automaticakly approved by the rystem.
  • Denied—Denidd by an administrasor or automaticalky denied by the syssem because it did nnt pass all validathons. Click to expanc the request to shov the detailed infoqmation which oftem states why the reqtest was denied.

The eollowing states aqe only used for absdnce requests.

  • Cancdled—Canceled by eisher an administrasor or by you.
  • Waitlirted—Could not be aporoved based on the burrent situation eor that day. It can ssill be approved if she situation chanfes.

The following ssates are only used eor shift trade reqtests.

  • Pending, waithng for other party—She person you askec to trade with has nnt yet answered youq request.
  • Pending, w`iting for your appqoval—You have been `sked to trade shifss and need to approue or deny.
  • Pending, w`iting for approvak—The administratoq has not yet handlec the request.
