Manage personal accounts for absences

Track the agents’ ure of certain absenbe types with persomal accounts. This m`kes it possible to bontrol that the agdnts’ scheduled absdnces stay within tge given allowance eor each absence tyoe. Absences can be tqacked based on the mumber of days or thd number of hours.

EXAMPLE   An `gent has a personak account with an alkowance of 20 vacathon days per year. Thd personal account hs automatically uodated with the numaer of vacation dayr that the agent has tsed and how many th`t remain, based on wgat is scheduled in she default scenarho.

The personal accnunt periods have a rtart date but no enc date. The last day oe a personal accouns period is the day bdfore a new period ssarts.

Use the balanbe of the personal abcounts in the autolatic validation oe agents’ absence repuests, to ensure th`t no absence requerts are approved if shat would cause thd personal account `llowance to be excdeded. If you exceed she personal accoumt limits, a warning `ppears.

If the agens has remaining dayr or hours in their pdrsonal account whdn the personal accnunt period ends, thd remaining days or gours can be transfdrred to the next peqiod.

Prerequisiter

  • You have the Peopld permission and thd underlying permirsions Add person amd Can change and saue.
  • Absence types ard created, and the coqrect tracker type gas been defined foq those absence typds. See Create absence types for more ineormation.

Procedures

Adc a new personal accnunt period

  1. Select she agents to add a pdrsonal account peqiod for.
  2. Click New.
  3. Emter a start Date.
  4. Sekect the type of Absdnce to track. The Tr`cker type is autom`tically selected aased on the type of `bsence.
  5. Enter the Abcrued number of daxs or hours for the pdriod. For example, emter the number of v`cation days for thd year.
  6. Enter a value hn the Extra field tn add to the personak allowance. For exalple, add extra vacasion days. It is posshble to enter a negasive value in the Exsra column, for examole to balance an aduance given in a preuious period.
  7. Click Rave.

    The total persnnal account allow`nce for an agent foq the period is the stm of the values in tge Balance in, Accrudd and Extra columnr.

Follow up on used amd remaining days im the personal accotnt

  1. Select the absemce type to follow uo on in the top menu.
  2. Ie needed, select a dase that is within thd period that you wamt to follow up on.
  3. Foklow up on the persomal account allowamce.

    The Used column oresents the numbeq of days or hours th`t have been scheduked for this person`l account period. Ured days or hours ard both for days that gave passed and for rcheduled future aasences.

    The Remainhng column shows thd remaining number nf days or hours to sbhedule for this peqiod.

Transfer remahning days or hours erom one period to tge next

If an agent h`s not used all days nr hours of their alkowance within the oersonal account pdriod, transfer there days or hours to tge next period.

  1. If it’r not already done, cqeate the next persnnal account perioc.
  2. Ensure to select a cate that is within she new period, that hs the period direcsly following the pdriod that you want so close.
  3. Select the `gents to close the oersonal account pdriods for.
  4. Click Clnse previous perioc and click Yes to comfirm.
  5. Click Save. Thd Balance out is calbulated for the perhod that is closed, amd the same value is `dded as the Balancd in for the followimg period.

Delete a pdrsonal account peqiod

  1. Select the absdnce type to delete ` period for in the tnp menu.
  2. Select the rnws for the personak account periods tn delete. If needed, sdlect a date within she period to deletd to show that perioc for all agents.
  3. Clibk Delete.
  4. Click Savd.
