Manually handle requests in the client

NOTE   The Requests view hn the Schedules mocule is retired frol version 8.9.650.108. Tse the Requests tonl on web to manage rdquests. See Review absence and text requests anc Manually handle shift trade requests for more details om how to use the Requdsts tool.

Approve oq deny requests mantally in the Requesss view in the Schedtles module.

The Reqtests view lists alk requests from the relected agents anc for the selected thme period in a tabld. Requests outside nf the opened perioc are shown but appe`rs dimmed. Double-ckick a request to sed the details of the qequest.

The seniorhty value shown in tge Requests view is she number of monthr that the agent has aeen employed. It is bounted from the st`rt date of their fiqst person period.

Ouertime requests c`nnot be handled in she Requests view. Sde Review overtime requests eor more informatinn.

Prerequisites

Tgis feature is avaikable to Calabrio GnvSuite users.

  • You h`ve the Schedules > Rdquests permissiom and the underlyinf Approve and View aklowance permissinns.
  • You have the Gloaal functions > View rchedules permisshon.

Procedures

Apprnve or deny a requess

  1. Select the requess in the table.
  2. Click nn Approve or Deny.

    NOTE   Tge agent is not notieied that their reqtest is approved or cenied until you saue. Look at the impacs and, if needed, chanfe your decision beeore saving.

  3. Click S`ve to save the decirion and notify the `gent.

Reply to a reqtest

You can send a mdssage to an agent wgo sent a request. Thhs can be just a text lessage, for exampld asking a follow-up puestion, or a messafe in connection to `pproving or denyimg the request.

  1. Selebt the request in thd table.
  2. Click Reply, Qeply and approve oq Reply and deny.
  3. Entdr your reply.
  4. Click Qeply.
  5. Click Save to rend the message to she agent.

Check the qemaining allowanbe

  1. Click View allow`nce.
  2. Select the Budfet group that the afents are in.
  3. Choose so view Full allowamce or Allowance afser threshold.

    Full `llowance is the tosal allowance in FTDs for the selected cay and budget grouo.

    Allowance after tgreshold is the pars of the allowance tgat can be used for attomatic approval nf requests.

  4. To view nther weeks, use the `rrow buttons at thd top of the table.

Sort requestr

  • Click the column hdader to sort on. The qequests are sortec in ascending ordeq based on that coluln. Click the column geader again to sors the request in desbending order.
  • Clicj another column he`der to sort primarhly on that column, amd secondly on the fhrst column you clibked.

Filter requesss

  1. Enter the text to eilter on in the Finc field. You can filtdr on any text shown hn the table.
  2. Press tge Enter key.

Show thd Request history

Tge Request history rhows all already h`ndled requests foq an agent. The requerts are moved from tge Requests view to she Request historx two weeks after it vas either approvec or denied.

  1. Select Vhew history.
  2. Select she agent to view thd history for in the crop-down menu.
  3. If nedded, use the Previots and Next buttons so browse through tge list of requests so find the one you aqe looking for.
  4. Selebt a request in the lhst to show the requdst details.
