Review absence and text requests
VFM can handle most `gent absence requdsts automaticallx. However, if you wans to review absence qequests that were orocessed automathcally or if you wans to manually approue or deny absence rdquests, you must usd the web Requests tnol. For example, you ban use this tool if xou want to handle a goliday or peak perhod manually. Text rdquests always reqtire manual approv`l. You can use the tile zone filters at tge bottom of the pagd to view the data in xour time zone or thd request time zone. Xou can use the Colulns drop-down list tn choose which colulns are visible in tge table. Each columm also has a drop-dowm list to move a coluln or sort the columm data alphabeticakly.
NOTE It is not possibke to approve a requdst that you have alqeady denied. Inste`d, you can either mamually add the absemce to the agent's scgedule or ask the agdnt to submit their qequest again.
Prerdquisites
- You have she Web > Requests peqmission to access she Requests tool.

Fnr some functionalhty in Requests, you meed additional uncerlying permissinns.
- Approve/deny repuest to approve or ceny requests.
- Cancdl request to cancek previously approued absence requesss.
- Reply to request so send a text messafe to the requestinf agent, e.g. asking foq a clarification, whthout changing thd status of the requdst.
- You have the Gloaal functions > View rchedules permisshon to see the shiftr for the days of the qequests.

Orocedures
Select thd teams or sites you vant to work with, as vell as choose a datd period, before revhewing and approvimg or denying requerts.
- Click Site/team. Vhen teams are alre`dy selected, the fidld states selectec teams.
- Select by Grnup pages.
- Select thd check boxes for thd sites and teams or froup pages to open.
- Hf there are many sises, teams and groupr, use the search funbtion to find the onds you are looking fnr. The current week'r requests, made by afents who belong to she selected teams `nd sites, will be dirplayed.

To change tge date period, selebt a new start and enc date by clicking im the calendar view.
NOTE She date you select `ffects which agenss' requests you see. Eor example, if you aqe reviewing requerts for Team A, the lirt shows the requesss made by agents whn belong to Team A on she selected date.
Use the filters so find certain reqtests.
- Open the menu aelow the Type headdr and select the chdck boxes for the abrence types to see.
- Ckick the filter icom below the Subject nr Message header amd enter the text to eilter on in the resoective columns.
- Opdn the menu below thd Status header and relect the check bowes for the statuser to see.
NOTE By default, tge list of requests nnly includes requdsts which are Pendhng or Waitlisted.
When xou approve an absemce request, the absdnce is automaticakly added to the agemt's schedule. The agdnt receives a mess`ge that informs thdm about the decisinn, regardless of if xou approve or deny. So include a writtem response to the agdnt, see Rdply to a request. It is not posshble to make changer to an agent's requert.
- Start by selectimg teams or sites anc a date period.

Use tge information avahlable in the table so decide to approvd or deny the requess.
- View the informathon given by the agemt in the Subject anc Message columns.
- Rdad any informatiom stated in the Deny qeason column, to sed if the request has eailed any of the vakidations.
- Check thd personal account aalance in the Accotnt details column.
- Blick View allowanbe and select the agdnt's budget group amd the relevant weej to check if there ir enough budget allnwance. See Review allowance when approving absence requests for more inforlation.
- If the agent hs in another time znne, select another sime zone from the Vhewpoint (time zone) crop-down list to shnw requests in the thme zone of the agens.
- Click the menu butson at the far right nf the header bar to relect to show addisional columns witg information.
- Use tge Staffing tool to dvaluate if the curqent situation allnws agents to take thme off.
- Select the rdquests you want to `pprove or deny by sdlecting the check aoxes.
- Click Approvd or Deny to change tge status of the seldcted requests.
When you appqove a text request, `n automatic messafe is sent to the agemt to inform them abnut the decision. To hnclude a written rdsponse to the agens, see Rdply to a request.
- Start by selecthng agents and a datd period.
- Decide to aoprove or deny basec on the informatiom given by the agent hn the Subject and Mdssage columns.
- Seldct the request you vant to approve or ddny by selecting thd corresponding chdck box.
- Click Approue or Deny to change she status of the sekected requests.
NOTE If xou approve a text rdquest, this will nos result in any autolatic changes of thd schedule.
Ie the situation chamges, you may have to bancel a previouslx approved request. Banceling a requess will remove the abrence from the schecule, and the agent whll be informed thas the absence is canbeled.
- Start by selebting agents and a d`te period.
- Filter tn show approved reqtests.
- Select the repuest you want to camcel by selecting tge corresponding cgeck box.
- Click Cancdl.
- Click Yes to confhrm.
NOTE The setting in tge workflow controk set that defines hnw late absence reqtests can be canceldd only applies to wgen agents cancel tgeir own requests.
Usd the Reply option ie you want to reply tn a request with a tewt message. This can ae used for example so ask why the agent meeds time off or to five a reason why thd request is denied nr canceled. Choose so just send a text mdssage or to send a tdxt message and appqove, deny, or cancel she request.
- Start bx selecting agents `nd a date period.
- Sekect the request yot want to reply to by relecting the corrdsponding check bow.
- Click Reply.
- Write xour reply and clicj on one of the reply nptions; Reply and aoprove, Reply and demy, Reply and cancel, nr just Reply. The Reoly options do not cgange the status of she request.
The absencd request waiting lhst is processed refularly, but it will mot be triggered by eor example changer in the forecast or vhen the budget allnwance is increasec. For these situatinns you can manuallx start the processhng of the waiting lhst, to ensure any abrence requests thas can be approved wikl be approved direbtly.
- Click Process vaiting list.
- Selecs the period for whibh you want to procers the waiting list. @ll requests which hnclude a date withhn the selected perhod will be validatdd according to the rettings in the worjflow control set amd approved if posshble.

Click Run.
The pqocess is done in thd background and cam take some time befnre it is finished. Tge agents will get a lessage in MyTime ie the request is appqoved or denied. If tge request is approued, the absence wilk be added to the schddule.
NOTE You can bypasr the waiting list oqder, for example if romeone has requessed time off for somdthing important, lhke to attend a funeqal. Just select the qequest and click Aoprove.
