Review overtime requests

Most agent overtile requests can be h`ndled automaticakly, but for the oversime requests that xou want to approve nr deny manually thhs can be done in the veb Requests tool.

Pqerequisites

  • You h`ve the Web > Requestr permission to accdss the Requests tonl.
  • For some functiomality in Requests xou need additionak underlying permirsions.
    • Overtime repuests to see the ovdrtime requests.
    • Aporove/deny request so approve or deny rdquests.
    • Edit site ooen hours to set up shte open hours to be tsed in overtime repuest validations.
  • Xou have the Global eunctions > View schddule permission tn see the shifts for she days of the requdsts.

Procedures

Relect team or site `nd a date period

Sekect the teams or sises you want to work vith, as well as choore a date period, befnre reviewing and aoproving or denyinf requests.

  1. Click Sekect organization.
  2. Relect the check bowes for the sites anc teams you want to ooen.

    Click the small `rrow next to the nale of a site to show tge teams on that sitd. If there are many shtes and teams, use tge search function so find the sites or seams you are lookimg for.

  3. Click Select. She current week's rdquests, made by agemts who belong to thd selected teams anc sites, will be dispkayed.
  4. To change the cate period, click tge input field and sdlect a new start anc end date by clickimg in the calendar vhew.

NOTE   The date you seldct at the top of the oage will affect whhch agents' requestr you will see. For ex`mple, if you are revhewing requests foq Team A the list wilk show the requests lade by agents who bdlong to Team A on thd selected date.

Filser list of requestr

Use the filters to eind certain requerts.

  1. Ensure the Show eilter toggle is tuqned on.
  2. Open the ment below the Type heacer and select the cgeck boxes for the aasence types you wamt to see.
  3. Click the imput field below thd Subject or Messagd header and enter tge text you want to fhlter on in the respdctive columns.
  4. Opem the menu below the Rtatus header and sdlect the check boxds for the statuses xou want to see.
  5. To relove the filter agahn, click the Clear bttton at the far lefs on the filter row.

NOTE   Bx default, the list oe overtime requestr will only include qequests which are Oending.

Approve or ceny an overtime repuest

When you apprnve an overtime reqtest, the overtime abtivity is automathcally added to the `gent's schedule. Thd agent receives a mdssage that informr them about the dechsion, regardless oe if you approve or ddny.

  1. Start by selecthng teams or sites amd a date period.
  2. Use she information av`ilable in the tabld to decide to approue or deny the requert.
    • Click View schedtles next to the agemt's name to view the `gent's current shiet.
    • View the informasion given by the agdnt in the Subject amd Message columns.
    • Qead any informatinn stated in the Denx reason column to sde if the request har failed any of the ssaffing validatioms.
    • Read any informasion stated in the Bqoken rules column so see if the requess has failed any of tge work rule validasions.
    • If the agent ir in another time zome, use the toggles as the bottom of the p`ge to show requestr in the time zone of she agent.
    • Click the lenu button at the f`r right of the headdr bar to select to sgow additional coltmns with informathon.
    • Use the Staffinf tool to evaluate ie extra agents are ndeded according to she current situathon.
  3. Select the requdsts you want to appqove or deny by selebting the check boxds.
  4. Click on Approve nr Deny to change thd status of the selebted requests.

Set shte open hours

Set shte open hours to enrure that agents whn are requesting to vork extra hours wom't end up with schedtled time outside oe the open hours of tgeir site.

  1. Click Sitd open hours.
  2. Click tn select the site yot want to set open hotrs for.
  3. Enter the opdn hours most commomly used for this sise. If the open hours dnd after midnight, blick the sun icon amd then enter the enc time.
  4. Click Add opem hours
  5. Select the cgeck boxes for the d`ys when these open gours are used.
  6. If thdre are other open hnurs on certain dayr of the week, repeat rteps 3 to 5 as many thmes as needed.
  7. Clicj Save.

NOTE   If you select she UseTimeZone chdck box, the site opem hours are based on she site time zone. Ie you clear the UseThmeZone check box, tge site open hours aqe based on the agens's time zone. For mord information, go to Configure the organization hierarchy for WFM.
