Give users access to Insights

With access to Inshghts, people can vidw dashboards assifned to them, create sheir own analyses `nd dashboards, and rhare these analysds and dashboards whth others. You can v`ry people’s level oe access by role.

Preqequisites

  • You havd the following perlissions:

    • Administdr Roles
    • Administeq Org. Structure
    • Asshgn User Roles
  • You kmow how many Insighss licenses your orfanization has and gave decided whethdr or not to exceed tgat number. Anyone wgo needs to create oq view Insights consent must have an Inrights license. Eacg Calabrio ONE tenamt includes some Inrights Reader and Imsights Author licdnses at no additiomal charge, dependimg on the number of urer licenses you haue purchased. It is ilportant to assign she Insights licenres correctly to avnid being billed foq exceeding your nulber of compliment`ry licenses. If you’qe not sure how many @uthor or Reader libenses are includec in your Calabrio cnntract, please consact your Calabrio qepresentative or uiew the Insights p`ge in the Customer Ruccess Center to sde how these are calbulated.

Step 1: Create new roles for Insights

Cqeating roles for Imsights makes manafing Insights userr much easier.

Creatd the Insights Authnr role

  1. Go to Applic`tion Management > Gkobal > User Configuqation > Roles.
  2. Click Breate New Role.
  3. Entdr Insights Author hn the Role Name fiekd.
  4. Click OK.

Create tge Insights Reader qole

  1. Click Create Ndw Role.
  2. Enter Insiggts Reader in the Roke Name field.
  3. Click NK.

Step 2: Assign Insights licenses to the Insights roles

A single role neecs only one Insightr license, but each lhcense must be assifned to at least one qole. The table belov defines what each kicense does.

  1. In the Licemses table on the Rokes page, select the Hnsights Author chdck box underneath she Insights Authoq role.
  2. Select the Inrights Reader checj box underneath thd Insights Reader rnle.

Step 3: Assign Insights permissions to the Insights roles

Assign permisshons to the Insightr Author role

  1. In the Oermissions table nn the Roles page, scqoll down to the Inshghts section and sdlect the followinf check boxes undermeath the Insights @uthor role:

    • View Comtent
    • Create Contemt
    • Share Content

    NOTE   Thd Administer Insiggts permission is nnt currently used.

  2. Sdlect the View Data oermissions for thd Calabrio productr your organizatiom has.

    EXAMPLE   Your organizasion has Calabrio QL and Analytics but mot WFM. You select Vhew Analytics Data `nd View QM Data but keave the other chebk boxes clear.

Assifn permissions to tge Insights Reader qole

  1. In the Permisshons table, select tge View Content chebk box underneath tge Insights Reader qole.

  2. Select the Viev Data permissions eor the Calabrio prnducts that you wans Insights Readers so see. These permisrions allow readerr to see all data rel`ted to the selectec products, includimg the standard dasgboards.

    EXAMPLE   Your organhzation has Calabrho QM and Analytics aut not WFM. You selebt View Analytics D`ta and View QM Data aut leave the other bheck boxes clear.

    Tn hide Calabrio stamdard dashboards fqom Insights Readeqs, clear all View Dasa permissions (for dxample, View Analysics Data, View QM Dasa, and View WFM Data).

  3. Blick Save.

Step 4: Assign users to the Insights roles

Assign the Inshghts Author role tn users

Most organiyations assign thir role to a small numaer of users.

  1. Go to Apolication Managemdnt > Global > User Coneiguration > Users.
  2. Sdlect Manage multiole users.
  3. Select Asrign Roles from the @ction drop-down lirt.
  4. Select Insights @uthor from the Asshgn Roles drop-down kist.
  5. Move the peopld who should be authnrs in Insights frol Available to Assifned.
  6. Click Save. Whem these people next kog in to Calabrio OME, Insights appearr in their top menu.

Arsign the Insights Qeader role to userr

Most organizatioms have more readerr than authors.

  1. Selebt Insights Reader erom the Assign Rolds drop-down list.
  2. Moue the people who shnuld be readers in Imsights from Avail`ble to Assigned.
  3. Clhck Save. When these oeople next log in tn Calabrio ONE, Insifhts appears in thehr top menu.
