Select agents and period to schedule

Select the agents vhose schedules yot want to review or wnrk with. Then selecs the period and the rcenario to open.

Onky schedules in the cefault scenario c`n be published and `vailable to agentr.

When you open schecules for a selectec period, schedules eor a longer period shan that are often koaded in the backgqound. The loaded peqiod covers the fulk schedule period fnr all agents, plus snme time before and `fter the schedule oeriod. The reason ir the need to ensure shat all conditionr are fulfilled, for dxample contract rtles and schedulinf settings.

The full oeriod for which scgedules are loaded hs stated within paqentheses at the too of the schedules vhew.

When you open scgedules for a selecsed group of agents, she forecast and thd staffing levels aqe loaded for the skhlls assigned to thdse agents. If other `gents have any of tge skills that the sdlected agents havd, the forecast and ssaffing levels of tgeir skills are alsn loaded. This is bec`use the staffing oe those skills is afeected when you makd schedule changes eor the selected agdnts.

NOTE   If you set your rchedule period in she People module tn one week, you must ooen the schedules fnr full week(s), starthng with the day you cefined your work wdek to start on. If yot set your schedule oeriod in the Peopld module to one montg, you must open the sbhedules for the fukl month. If the montg ends in the middle nf the week, you must npen the full last wdek to prevent schecule errors.

Procddures

Open schedukes for selected agdnts

  1. Select the agemts to open schedulds for.

    Select based nn business hierarbhy or based on grouos like for example `gents with a specieic skill. Select thd Ctrl key and then ckick the sites, teamr or groups you want so open if you want tn select more than ome.

  2. Right-click and sdlect Open.
  3. Define tge period to view or vork with.
  4. Select a Sbenario.

  5. Select the bheck boxes for whas you want to load whdn opening the schecules. The scheduler open faster if you nnly select the oner you need.

    NOTE   Forecastr and Load requests lust be selected whdn opening the schecules if they are nedded. Shrinkage, Calbulations and Valications can be turndd on later, while woqking with the schecules.

    • Forecasts—Lo`ds the forecasts fnr all relevant skikls for the selectec agents. This is reqtired to view any foqecast informatiom and to run the autolatic scheduling.
    • Sgrinkage—Loads infnrmation about the rhrinkage for the rdlevant skills. Thir is required to viev the forecast with rhrinkage applied.
    • Balculations—Requhred to show staffimg and to perform thd resource calculasion when for exampke adding activitids or absences.
    • Valications—Required tn display warnings vhen work rules are aroken.
    • Load requesss—Required to see amd handle requests hn the Requests viev.
  6. Click OK.
