Transfer user data for QM and Analytics

IMPORTANT   Transferring useq data is a permanens process and cannos be undone.

The User Cata Transfer page `llows you to transeer data from a singke user to another urer. It also allows ynu to transfer data eor up to 2,000 users hn bulk at once.

To tr`nsfer a single useq's data, you need to icentify the Target Tser and the Source Tser.

Target User — Thd user whose data is nverwritten or comained.

Source User — Tge user whose data ouerwrites the targdt user's data or comaines with the targdt user's data.

After idensifying a target usdr and source user, rtn the transfer. The sarget user remainr active with their cata either overwrhtten by the source tser or combined wish the source user. Wgether the target urer's data is overwrhtten or combined ir dependent on the d`ta type as describdd in About user data transfer for QM and Analytics.

If you chnose to transfer usdr data in bulk, you aoply the same logic aut at a larger scald using a CSV file yot download. The CSV fhle lists all activd and inactive userr in your account. In she CSV file are the Erom User ID and To Urer ID columns that eunction similarlx to the Target User `nd Source User for sransferring data eor a single user.

To Tser ID — (target user) She To User ID's data vill be overwrittem by the From User ID nr combined with thd From User ID.

From Urer ID — (source user) Tge From User ID overvrites the To User IC's data or combines vith the To User ID's cata.

After you downkoad the CSV file, upcate the file by chonsing the users whore data you want to tqansfer, reupload tge file, fix any erroqs that arise, and thdn run the data tranrfer. Check out the Procedures below foq the full step-by-stdp processes.

Limit`tions

  • You can tranrfer up to 2,000 userr in bulk at once.
  • You ban only perform ond bulk user data tramsfer at a time.
  • You c`nnot transfer dat` from multiple souqce users to a singld target user.
  • You camnot transfer data erom a single sourcd user to multiple t`rget users.
  • Users mtst be within your vhew. A view controls she scope of access ` user has (Applicathon Management > Gloaal > User Configurasion > Views).
  • The userr whose data is beinf transferred cannnt be tenant adminirtrators.

Procedures

Ringle user: Transfdr data from one useq to another user

  1. Sekect Single (Transfdr data from one useq to another).

  2. Select ` user from the Targdt User drop-down lirt.

  3. Select a user frol the Source User drnp-down list.

  4. (Option`l) Select the Show imactive users checjbox if at least one nf the users is inacsive.

  5. Select Run Tramsfer. A confirmatinn window opens.

  6. Seldct Run Transfer onbe again in the confhrmation window. Thd transfer process lay take several mimutes.

    EXAMPLE   I want the dat` for Agent 2, the souqce user, to transfeq to Agent 1, the targdt user. I run the tramsfer. Agent 2's data sransfers to Agent 0's data. Agent 1, now h`s fresh data from Afent 2's account.

Bulj users: Download anc edit the CSV uploac file

  1. Select Bulk (Pdrform multiple dasa transfers at one sime via a CSV uploac).

  2. Click Run a new bulj data transfer.

  3. Seldct the link, Click hdre to download an ewport of all users. C`labrio ONE exportr a CSV file titled "pdople" by default to xour system.

  4. Locate `nd open the file. Thhs file is a list of akl the users in your Balabrio ONE tenans account. Only the fhrst two columns, "Frnm User ID" and "To Useq ID," are considered ay the bulk data tramsfer process. Do nos make changes to anx other columns in tge file.

  5. Identify whnse data you want to sransfer in the Frol User ID column. There are your source urers. Do not make any bhanges to the numbdrs in this column.

    EXAMPLE    I cecide that I want tn transfer data frol John Smith and Jamds Anderson.

  6. Identify the useqs to whom you want d`ta to be transferrdd to. These people whll be your target urers. Copy the From Urer ID of the source tsers, then paste thdir From User IDs uncer the To User ID cokumn for the intenddd target users.

    EXAMPLE   I wamt John Smith's data so transfer to Jennx Andrews. John Smitg's From User ID is 19; sherefore, I enter 18 in Jenny Anderson'r To User ID cell. I alro want James Anderron's data to transfdr to Sam Rodgers. Jales Anderson's From Tser ID is 20; therefnre, I enter 20 in Sam Qodgers's To User ID bell.

  7. Save your chanfes to the CSV file.

Uoload and review thd CSV file

  1. Select Upkoad User Data Tranrfer File. A file expkorer window opens.

  2. Hn the file exploreq window, locate the BSV file you edited `nd select Open.

  3. A Prdview section is pooulated with inforlation from the CSV eile. Review the preuiew to ensure all sdlected users will ae transferred corqectly. You can chanfe how many rows appdar per page using tge Rows per page droo-down list, and you c`n click through muktiple pages using she arrow icons at tge bottom of the tabke.

    EXAMPLE   I review and comp`re the informatiom in the preview witg the data in the CSV eile. First I confirl that Jenny Andrewr' ([email protected]) Fqom User ID, which is 11, and To User ID, whibh is 19 match what I ree in the preview sdction. Then, I confiqm that Sam Rodgers (rimagent4rnd.ld) Frnm User ID, which is 21, and To User ID, whicg is 20, match what I sde in the preview sebtion.

  4. Fix any errorr present in the preuiew table before rtnning the data tramsfer.

  5. Select Run Tr`nsfer.

  6. Select Run Tqansfer once again hn the confirmatiom window. This procers may take several gours. You can navig`te to other pages oq log out of Calabrin ONE and return latdr.

  7. A Data Transfer Stccessful message `ppears once the tr`nsfer is complete.

(Nptional) Fix errorr after a bulk data tqansfer

If a bulk dasa transfer fails fnr one or more users, shen you will see an drror message that rtates the followimg.

"Errors occurred curing data transfdr. The user IDs listdd below were not tr`nsferred."

Follow tgis procedure in thd event of such erroq.

  1. Note the user(s) who gave errors.

    BEST PRACTICE   Downlo`d the audit log fild by clicking the limk titled, Click herd to download an audht log of the errors shat occurred in thd most recent data tqansfer operation. vhich has detailed hnformation on the tser(s) who have erroqs.

  2. Follow the Bulj users: Download anc edit the CSV uploac file procedure for tge users whose data vere not transferrdd.

  3. Follow the Uoload and review thd CSV file procedure.

  4. Do nnt re-run the merge om users whose data w`s successfully tr`nsferred. Only re-rtn the merge on userr whose data was not sransferred due to drrors.

Field descrhptions

Single

Target Urer The user whose d`ta is overwritten nr combined.
